Process Automation Consulting
Decide whether and how to automate business processes with AI, and leave with a documented concept and a plan that covers the automation lifecycle from launch to retirement.
1–2 weeks
Is This Right for You?
This service is for organizations that have a specific process they want to improve and want to do it deliberately, rather than switching on whatever agentic feature a vendor has enabled. It goes deep on a single process, so it is smaller and faster than a full AI strategy engagement.
- A repetitive, time-consuming, or error-prone process is costing you money, causing delays, or frustrating your staff.
- A previous AI assessment or planning engagement identified a process worth automating.
- Your staff are already experimenting with AI agents or workflow-automation tools, and you want that use formalized and governed.
- A software vendor is offering agentic features for a platform you already use, and you want an independent view before you commit.
- Leadership has set an automation or productivity goal, and you want a first use case that carries manageable risk.
What You Get
- Business Process Documentation: a validated description of how the process actually runs today, including the exceptions, workarounds, and informal tool use that never make it into the official procedure, plus baseline measures so the value of automation can be measured against a known starting point.
- Agent Concept Definition: a documented concept for the recommended automation: what it is for, what it may do, which actions require human approval, who is accountable, and how success will be measured.
- Implementation Plan: a recommended solution with rationale, the steps needed to put it in place, the governance prerequisites to meet first, and a plan for the automation's monitoring, improvement, and eventual retirement.
The engagement does not include implementation. That work is scoped and quoted separately once the plan is complete.
How It Works
- Scoping Session: we confirm which process is in scope, where it starts and ends, the objective for automating it, and who we need to talk to.
- Stakeholder Interviews: we interview up to five people who own, perform, depend on, or support the process, documenting how it actually runs.
- Process Analysis: we document the current state, including steps, decision points, systems, data, hand-offs, and pain points, and record baseline measures where the data exists. The process owner validates this before we go further.
- Suitability Assessment: we assess each step for whether it should be automated and how, from simplifying the process through conventional automation to AI assistance and agentic automation.
- Agent Concept Definition: we define the concept for the recommended approach, including permitted actions, human approval points, autonomy level, accountable owner, and success criteria. You review it before any solution is recommended.
- Solution Options and Recommendation: we identify and evaluate candidate tools against the concept, including agentic due-diligence checks, and recommend a solution with documented rationale. No vendor is pre-selected.
- Implementation Plan: we produce the plan covering implementation, monitoring, improvement, and retirement, and identify who should carry out each part.
- Plan Review and Handoff: we present the concept and plan to you, cover the key decisions you need to make, and deliver the final documents.
An Agent Is Not Assumed to Be the Answer
Before we recommend any automation, we ask whether the process should be automated at all. Simplifying the process, removing low-value steps, or using conventional non-AI automation may achieve your objective with less risk. When that is the better answer, we recommend it.
When agentic automation is the right call, boundaries are designed to be enforced, not just instructed. Every action the automation may take is classified by impact, likelihood of error, and reversibility, and irreversible or high-impact actions always require prior human approval. Autonomy is earned: every automation launches with a person in the loop, and it earns more independence only on documented evidence that it has operated safely.
From Concept to Retirement: The Secure Agent Lifecycle
Every automation we plan follows the Secure Agent Lifecycle from the Evolutie Standard, a framework that applies AI governance across the full life of an AI system that takes actions on your behalf. The initial engagement completes the first stage in full and produces a plan for every stage that follows.
- Concept: deciding whether the automation should exist at all, what it is permitted to do, and how much independence it should have. This engagement completes this stage in full.
- Implementation: configuring the automation so its boundaries are enforced by the system itself, with approval gates, testing, and containment in place before it handles live work.
- Maintenance and Monitoring: confirming the automation keeps doing what it was approved to do, and only that, through logging, review, and the ability to halt it and revoke its access.
- Continuous Improvement: reassessing whenever its tools, permissions, or surroundings change, and expanding or reducing its autonomy based on evidence.
- Decommissioning: retiring the automation cleanly when its objective is met or its value no longer justifies its risk, revoking every credential and connector, and accounting for its data and records.
The result is an automation that stays under accountable human oversight for its entire life, not just on launch day.
Pricing
From $2,500 for one business process, including up to five stakeholder interviews, delivered online. On-site days are available in Metro Vancouver and the Fraser Valley for a per-day fee. The final price is confirmed at proposal based on process complexity and the stakeholders involved.
Implementation is not included. Its cost depends on the decisions made in the plan, including which tools and services you select, so it is scoped and quoted separately. The plan identifies the main cost drivers so you can budget before committing.
What Happens Next?
Once your implementation plan is complete, most organizations move straight into carrying it out, with ongoing governance support once the automation is live.
AI Infrastructure and Tooling Support
Evolutie-led, collaborative, or advisory implementation of the recommended solution, including the post-implementation review. Ask us about it when we scope the work.
